Institutional Management

The Facility Module or Nursing Home Module provides the forms, reports, and functionality necessary for any institutional pharmacy whether long-term care, mental health, assisted living, board-and-care or corrections.

It helps institutional pharmacies increase productivity, efficiency, and profitability while supporting the unique needs of long-term care environments. The module includes support for various forms such as MAR, Physician Orders, treatment sheets and psychotropic monitoring sheets.

The Nursing Home module is totally integrated with your patients’ prescriptions. Its features include printing MARs and Physician Orders, performing drug utilization reviews, end-of-month unit dose billing, and automatically batch filling routine meds and cycle fill for nursing homes. Our Nursing Home module also features thermal printing, which produces crisp, easy to read labels with “easy peel” tabs and barcodes for fast, accurate refill ordering.

Facility Modules Features

The unit dose billing program allows you to bill unit dose prescriptions at the end of the month. Routine meds automatically default to the month’s supply and eliminate entry unless there is a change.

First-time prescriptions can be placed “on-hold,” giving you the ability to enter unit dose prescriptions that will not be billed until the end of the month and to document prescriptions filled from other pharmacies for homes you are serving.

Each nursing home can be assigned default standing routine orders, med pass times, attending and alternate physicians, skill levels, and activities that can be applied to each patient as needed.

Med sheets can be printed by account number, name or bed location. This helps organize the sheets in the same order that the nursing home will use them.

Treatment orders can be given scheduled charting times and can be printed either with the med sheets or on separate treatment sheets.

Prescriptions can be given pass times which print on the med sheet for charting. Different default pass times can be assigned to each home as required.

You can define the order in which the prescriptions are printed on the med sheets according to the dispensing frequencies such as QID, TID, BID, PRN, etc.

You may record wing, room and bed, weight, height, attending and alternate physicians, skill level, admission date, special diet instructions, diagnosis, allergies, permitted activities, and physician orders. Each order can be assigned an appropriate start and stop date.

You can produce drug utilization review reports that help you provide consultation. Included are drug-disease contraindications, drug-drug interactions, drug-allergy screening, federal indicator guideline reviews, and medication side effects.

Medical records can be generated for a specific patient, a nursing station, wing or an entire facility.

Some of the forms that can be printed include Medical Administration Records, Physician Orders, Treatment Records, Antipsychotic Flow Records, ADL Sheets and many others.

Our Cycle Fill and Mass Fill functions automatic refill and provides the ability to send multiple claims for multiple patients to multiple carriers for routine medications. These functions save you time and money by allowing you to refill like the real world. You can refill in batch or by MAR. MAR gives you the flexibility of not only refilling routine medications like other less capable systems but allowing you the flexibility to select a routine medications, to discontinue medications or fill new medications from the MAR Sheet, once you are satisfied with all the changes, the system will automatically refill, transmit, print the prescriptions, MAR Sheet and Delivery Sheet for all selected medications.

The automatic prescription refill system gives you the ability to instantly fill and bill refills. This system is mainly used by Institutional Pharmacies to assist them with the high volume of refills from facilities. But can also be used by Retail Pharmacies to refill and bill or rebill any claims missed or not billed during the day.

Pharmacy Management

Transition to a paperless environment. Scan, store, and retrieve any type of document (including: Prescriptions, CMN, Insurance card, Physician documentation, Worker Comp forms, etc ..) to eliminate the need for manual filing. The prescription, insurance card and signature is scanned and attached to the patient record. When patient information is retrieved, the images will automatically appear as verification of the patient’s prescription. In addition to helping to prevent dispensing errors, the module can help dramatically reduce the time and expense of an audit.

PDMP provides the ability to improve the patient standard of care and reduce controlled prescription drug abuse and diversion. Our pharmacy software automatically tracks controlled prescriptions and provides the states with the reporting requirements.

A lot of States now require some sort of prescription drug monitoring program (PDMP). The program is established to collect data on all Schedule II, III, and IV controlled substances dispensed in the State or dispensed to an individual in the State.

Each time a controlled substance is dispensed to an individual, the controlled substance shall be reported to the PDMP program using a format approved by the Department of Health (DOH), as soon thereafter as possible, but not more than seven (7) days (in some States 14 days) after the date the controlled substance was dispensed .

The Abacus PDMP extract included in our Pharmacy Software allows the ability to easily meet the reporting requirements.

The Drug Supply Chain Security Act (DSCSA) enacted by Congress on November 27, 2013, outlines steps to build an electronic, interoperable system to identify and trace certain prescription drugs as they are distributed in the United States. The system will enhance FDA’s ability to help protect consumers from exposure to drugs that may be counterfeit, stolen, contaminated, or otherwise harmful and will also improve detection and removal of potentially dangerous drugs from the drug supply chain to protect U.S. consumers.

We provide, in conjunction with facilitators, a cloud-based, Service Oriented Architecture (SOA), used to determine the current and past locations of pharmaceutical drug products purchased and/or sold through US pharmaceutical drug supply chain stakeholders, Manufacturers, Suppliers/Wholesalers, and Dispensers.

You have workflow support in accordance with DSCSA for the following items:

  • Authorized Trading Partner Verification.
  • Suspect and/or Illegitimate Product Identification & Reporting.
  • Data Retention (Min of 6 years).
  • Review & Acceptance of Transaction Data.
  • Aggregates all transaction data, EDI or EPCIS from all trading partners into
one location with search & reporting tools and data retrieval.
  • Expiration Management tool.
  • Unit Level Serialization.
  • Product Verification.
  • Product Tracing.
  • Software Support, Assistance with Audits, and Training.

The Pharmacy software will automatically manage your inventory (container, expiration date and Lot numbers) which can increase your cash flow and profit by reducing the amount of inventory you need to carry in your pharmacy. Password protected features and reporting capabilities can help minimize theft and give you accurate inventory counts. Abacus can support most all major wholesalers and can provide cost comparisons between them.

The inventory control feature allows you to set up automatic reorder stocking levels, generate purchase orders and send them electronically to a wholesaler. When an incoming order is processed it updates quantity-on-hand, and the actual acquisition costs. Your financial reports will accurately reflect your true costs, which can be seen on each prescription as you fill it.

A Barcode Scanner can effectively reduce errors and time by allowing the user the ability to scan the actual medication being dispensed or looked up, scan prescriptions against the medication for drug verification (This handheld portable unit will scan the NDC number bar code on the patient label or receipt and match it to the scanned NDC number bar code on the stock drug container from which the prescription is being filled)., scan Rx being picked up and scan Inventory received. Because it is portable, the scanner can be carried and used at any location during the prescription filling and checking process.

We offer one of the fastest and secure internet claim processing service available! You will be able to process many single or multi-payer claims via standard Rx fill or AutoFill application or using our deluxe Cycle Fill product.

Text Message when Prescriptions are ready.

The system can send a text message automatically to any patient with a cell phone or email when the prescriptions are ready to be picked up. This will help provide your customers with great service while keeping your will call bin empty.

Our Workflow technology with document scanning, barcode technologies, pill imaging, prescription verification, electronic signature capture and interfaces to IVR, robotic dispensing machines and Bin management, you can take on large dispensing volumes while maintaining accuracy and efficiency and tracking prescriptions anywhere in the workflow.

See How it Works

Improve patient safety and pharmacy resource utilization. Eliminate dispensing errors by verifying prescriptions during the filling process to assure that the drug product identified on the label is the drug product that is being dispensed. The dispensing process includes order entry, pharmacist verification, labeling/ packaging, quality assurance with NDC bar code verification and drug images, and delivery with bar code tote checking. Orders that require additional attention can be pushed to the error resolution queue to avoid delay.

Queue Features

The Refill Queue manages refill requests, prior authorizations was well as displaying the status. Requests can be receive automatically through an interactive voice response system (IVR), reducing time spent on the telephone or via the Internet.

For prescriptions that have expired or have no refills remaining, a fax, or electronic request can be sent automatically to physicians requesting a new prescription or additional refills.

From their workstations, each tech or pharmacist can view the list of prescriptions in the queue by different criteria, such as those waiting to be delivered, mailed, picked up at certain times, and those waiting for refill authorization, etc.

For each RX entered into the Queue, there is a note field that can be used to record special services or requests by the patient, such as requests for delivery of OTC items or reminders for the tech to call the patient when an order has been filled.

Bin management and Quality Control

A quality control feature can be enabled for after each prescription is filled, that will require to scan the stock bottle NDC and the prescription label barcode, you can verify that the prescription has been filled with the correct drug. You can also perform a complete DUR for the patient and review any potential drug interactions or drug allergies in the same screen.

During quality assurance (if configured) pill imaging feature will display a color picture of the tablet or capsule with its imprints so you can verify that the correct drug was dispensed before a prescription is scanned out and given to the patient.

Reports can be generated to identify prescriptions still remaining in the Will-Call bin so you can call your patients or reverse the prescriptions and return the drugs to stock.

The system maintains Workflow queues on new Rx orders, holds, physician action, DUR, rejects and verification.

In addition, the queue will list electronic prescriptions (eScript) and faxes as they are received or sent out.

The system allows you to automatically refill the patients prescriptions when they become due. You can control which patient, prescription or drug can be automatically refilled.

The software will verify and retrieve all the patient’s commercial insurance and Medicare part D insurance information and creates all the insurance records for you.

Enter the patient’s name, date of birth and the last four digits of their SSN and you can get all your patient’s coverage information (Plan, Group number, Card number, person code and relationship for Medicare part D or Commercial Insurance).

Here is a scenario of how it can work for you:

A customer arrives at your counter with her sick child and a prescription, but no insurance card. You use the information on her family’s file to submit her claim, but it won’t go through. She remembers that her husband’s company recently changed insurance plans, and cards from their new provider haven’t arrived in the mail.

That’s not a problem for you or your customer when your pharmacy is connected with our Commercial E1 eligibility. This eligibility lookup service allows pharmacies to easily get updated benefit information to successfully run a claim when the member’s card is not available, or when information on file is no longer accurate.

With E1, you can automate the task of determining eligibility and coverage for:

  • Patients with no insurance or prescription benefit card
  • Patients who have changed plans or who present the wrong information or card
  • E-Prescriptions that arrive for patients with no benefit information on file

You can improve staff efficiency and enhance customers’ overall experience when you’re able to quickly determine eligibility under these circumstances. Everyone’s goal is achieved when the customer leaves with the filled prescription.

The Commercial E1 has benefits unmatched by other vendors offering similar services. It provides eligibility information on more than 220 million people enrolled in commercial, Medicaid and Medicare Pharmacy Benefit Plans participating in the Surescripts© e-Prescribing Network. And, a exclusive three-point matching system confirm each submission. If a response doesn’t meet the criteria, you won’t be charged a transaction fee.

The system provides patient counseling support in the form of patient education leaflets. In addition to a full complement of drug utilization review (DUR) checks, like Drug Allergy, Drug-Drug Interaction, Drug Contraindication, Side Effects, Duplicate Therapy, Dosage Range, Duration of Therapy, Pediatric Contraindication, Geriatric Contraindication, Pregnancy Contraindication, Medication Guides and Lactation Contraindication. Your patients will have a printed version containing a detailed description of the prescription, directions on how to take the drug, possible side effects, and much more to educate your patients on their medication and the importance of taking their medication as prescribed.

The system has Medication Guides built in to address issues that are specific to particular drugs and drug classes, and they contain FDA-approved information that can help patients avoid serious adverse events. FDA requires that Medication Guides be issued with certain prescribed drugs and biological products when the Agency determines that:

  • certain information is necessary to prevent serious adverse effects
  • patient decision-making should be informed by information about a known serious side effect with a product, or
  • patient adherence to directions for the use of a product are essential to its effectiveness

Statements may be selectively printed for zero balance, credit balance accounts, or accounts that are 30, 60 or 90 days past due.

Also, special attention may be given to those accounts that are 30, 60, or 90 days past due by printing a message on the statement alerting the account holder of his/her responsibility.

Customized greetings messages announcing new products, holiday sales, or thanking customers for their patronage may be printed on your monthly statements.

PSE Monitor provides pharmacies and law enforcement with a tool to track the sale of products containing pseudoephedrine (PSE) so that state and federal restrictions can be effectively enforced.

Our integrated POS system allows pharmacists to track the daily and monthly sale of OTC medications containing pseudoephedrine and record both the product and the purchaser’s information. The system compares the purchaser’s consumption record to the legal limit standards of your State. If the sale is within the limit a transaction may be finalized with the consumer’s electronic signature. However, if the system detects that the legal limit standards will be exceeded by the purchase the transaction will be denied.

The system helps you to ensure customers leave the store with all the families prescriptions and can work with most hardware will call system providers.

The Order Entry feature will allow the user to quickly scan the hard copy prescriptions image, with or without additional information, to the “New Rx Orders” queue for later processing. The Order Entry feature is very useful for high volume environments or to provide another verification layer by having junior Pharmacy Technicians scan and enter Rx orders, while Pharmacist or senior technician just select, fill and verify orders.

Prescription processing is highly centralized. It is designed primarily around the prescription fill screen. Functions such as filling prescriptions, adding patients and doctors, transmitting online claims, performing proactive DUR analysis, maintaining SIGs, and printing patient education leaflets can all be done while filling a prescription. This centralized design greatly improves the user’s productivity by providing direct access to the majority of the tasks associated with prescription processing from a single location. The remaining tasks such as database maintenance, billing, system administration, reports, accounts receivable, nursing home support, are all organized within the system.

System customizable for different operational environment needs. Screen expands to additional options for high volume operation. Whether you fill 50 prescriptions a day or 15,000 prescriptions a day, the software handles it with ease.

The system restricts unauthorized users from any screen or function and can log unauthorized attempts and alert you.

With thousands of drugs in drugs in different shapes, sizes and colors on hand in a pharmacy, the pill database is of tremendous value.

It retrieves an image of the prescribed pill with the prescription image, aiding in verification.

Boost your CMS rating with our program, features, and interfaces.

The Center for Medicare and Medicaid Services (CMS) aims to provide better care, healthier people and communities, and lower cost care. In alignment with this goal, CMS developed a one to five-star rating system used to evaluate the performance of Medicare Advantage plans. A plan’s star rating is significant because it directly affects their compensation and marketing advantages.

Medicare Advantage plans are rated on performance areas, including outcome measures (improvement in health), intermediate outcome measures, patient experience, access measures (barriers to care), and process measures (how care is provided).

Part D plans are rated on performance measures for four domains: Drug Plan Customer Service, Member Complaints, Problems Getting Services, and Choosing to Leave the Plan, Member Experience with Drug Plan, and Drug Pricing and Patient Safety. The Drug Pricing and Patient Safety domain include Pharmacy Quality Alliance (PQA)-supported medication adherence measures.

CMS also uses Display Measures to further evaluate Part D plans. Although not included in the plans’ star ratings, these evaluations are reported to CMS and are displayed on the “Patient Safety” website. PQA-supported measures of medication safety, including drug-drug interactions, excessive doses of oral diabetes medications, and the completion rate of Comprehensive Medication Reviews, are measured and reported. This is where pharmacies come in!

Abacus provides monitoring and reporting to assist you in maintaining the highest rating level with the CMS Five-Star.

Data is collected detailing pharmacies’ performance in areas such as vaccinations, health coaching, medication therapy management, health promotion, care coordination, and adherence counseling. Medicare Advantage plans are particularly focused on medication adherence for Part D patients receiving maintenance medications for diseases, such as diabetes, hypertension, and cholesterol.

Pharmacies’ performance evaluations could potentially determine whether a Medicare Advantage plan includes a pharmacy in a preferred network. Plans may seek pharmacies who support their goals and who are willing to work to boost their performance numbers, such as those related to medication adherence.

For pharmacies, this may be a prime opportunity to collaborate with Medicare Advantage plans to improve star ratings and ensure patients are receiving appropriate care. The landscape of healthcare is evolving; in the future, pharmacies will play a growing role in providing comprehensive healthcare to their patients. We recommend you learn more about the CMS star-rating system and how your pharmacy is being evaluated.

HIPAA and the HITECH act

The law regulates the use and dissemination of PHI in four general areas:

The Health Insurance Portability and Accountability Act (HIPAA) is a US healthcare law that establishes requirements for the use, disclosure, and safeguarding of individually identifiable health information. It applies to covered entities—pharmacies, doctors’ offices, hospitals, health insurers, and other healthcare companies—with access to patients’ protected health information (PHI), as well as to business associates, such as software service and IT providers, that may access PHI on their behalf.

1. Privacy, which covers patient confidentiality.
2. Security, which deals with the protection of information, including physical, technological, and administrative safeguards.
3. Identifiers, which are the types of information that cannot be released if collected for research purposes.
4. Codes for electronic transmission of data in healthcare-related transactions, including eligibility and insurance claims and payments.

The scope of HIPAA was extended with the enactment of the Health Information Technology for Economic and Clinical Health (HITECH) Act. Together, HIPAA and HITECH Act rules include:

  • The HIPAA Privacy Rule, which focuses on the right of individuals to control the use of their personal information, and covers the confidentiality of PHI, limiting its use and disclosure.
  • The HIPAA Security Rule, which sets the standards for administrative, technical, and physical safeguards to protect electronic PHI from unauthorized access, use, and disclosure. It also includes such organizational requirements as Business Associate Agreements (BAAs).
  • The HITECH Breach Notification Final Rule, which requires giving notice to individuals and the government when a breach of unsecured PHI occurs.

HIPAA regulations require that covered entities and their business associates—in this case, Abacus when it provides services to covered entities—enter into contracts to ensure that those business associates will adequately protect PHI. These contracts, or BAAs, clarify and limit how the business associate can handle PHI, and set forth each party’s adherence to the security and privacy provisions set forth in HIPAA and the HITECH Act. Once a BAA is in place, Abacus customers—covered entities—can use its services. Currently there is no official certification for HIPAA or HITECH Act compliance. However, those Abacus services covered under the BAA are undergoing audits conducted by accredited independent auditors.

HIPAA history

The Standards for Privacy of Individually Identifiable Health Information (“Privacy Rule”) establishes, for the first time, a set of national standards for the protection of certain health information. The U.S. Department of Health and Human Services (HHS) issued the Privacy Rule to implement the requirement of the Health Insurance Portability and Accountability Act of 1996 (HIPAA). The Privacy Rule standards address the use and disclosure of individuals’ health information—called “protected health information” by organizations subject to the Privacy Rule — called “covered entities,” as well as standards for individuals’ privacy rights to understand and control how their health information is used. Within HHS, the Office for Civil Rights (OCR) has responsibility for implementing and enforcing the Privacy Rule with respect to voluntary compliance activities and civil money penalties.

Privacy and Security

Abacus is firmly committed to providing the best products and services available, while protecting the privacy and security of our customer’s information. We realize the confidentiality within the services that we provides and Abacus has established an information security policy in an effort to protect the security, confidentiality, integrity, and availability personally identifiable information, corporate trade secrets, intellectual property, and takes all reasonable and appropriate administrative, technical and physical safeguards to protect the security of this information. Our corporate values revolve around the commitment to service, excellence, integrity, privacy and security. We work closely with each of our customers to address individual needs and concerns and deliver a solution that meets their specific business requirements.

Abacus has received full accredited from EHNAC, see https://www.ehnac.org/accredited-organizations/, and has completed the HIPAA EPCS certification and has been approved for electronic prescribing of controlled substances (EPCS) via our pharmacy software applications. To earn certification, the company’s software application for EPCS functionality was audited as well as our process, facility, staff, procedures and operation to ensure that it complied with the requirements delineated in the Drug Enforcement Administration’s (DEA) EPCS Final Rule, 21 CFR Part 1300, 1304, 1306, and 1311. The certification audit is a requirement before prescribers or pharmacies can begin to exchange e-prescriptions with controlled substances and to be activated by SureScripts to send or receive EPCS through its prescription exchange network. Furthermore, it will allow Abacus to provide pharmacies’ solutions that will meet mandate for paperless EPCS e-prescriptions as required in some States.

The software is also certified or meets regulatory standards set by the National Council for Prescription Drug Programs (NCPDP), United States Pharmacopeia (USP), the U.S. Department of Health and Human Services (HHS), HITECH’s Meaningful Use (MU) specifications, the Health Insurance Portability and Accountability Act (HIPAA), American Society for Automation in Pharmacy (ASAP) and the Food and Drug Administration’s (FDA) Title 21 CFR Part 11 rules.

Plug-In Tools

The DeliveryRx™ system is the perfect solution for pharmacies that collect signatures in drive-thru windows, deliver medication to their patients or for servicing nursing facilities. Compatible with iPhone and iPad’s.

The system is designed to track prescription deliveries (even alternate addresses for patients wanting their prescriptions delivered to other locations), verify the Rx being delivered and to who, track the driver, track delivery with Prof-of-Delivery signatures or delivery notes. It can assist with payment collection (ensure complete delivery as well as payment accuracy). The Mobile Device can either instantly update all the Pharmacy data (patient signatures POD, payment amounts, debits charges, notes and delivery status) via the internet or the data is uploaded to the Pharmacy software when the driver returns.

You can track every prescription that goes out of your pharmacy!

  • Track Rx Delivery
  • Track Driver
  • Delivery tote verification
  • Delivery Route
  • Direction Map
  • Payment collection
  • Proof-of-Delivery signature

The DeliveryRx™ system provides two ways to track deliveries:

1. In manual mode, delivery tickets containing Patient, address and Rx are scanned and assigned to a delivery person indicating the prescriptions are on route, when the driver returns the delivery ticket is again scan with a status indicating received, refused or other status. The system can also provide a delivery list with directions and the delivery ticket can be scanned to electronically capture the patient signature.

2. In computerized mode, The DeliveryRx™ Computerized Delivery Tracking Module is the perfect solution for pharmacies that collect signatures in drive-thru windows, deliver medication to their patients, out patient services or that provide Rx delivery service to nursing homes, long term care facilities and other institutional facilities. In today’s competitive environment, a computerized delivery tracking system offers independent pharmacies an edge over the corporate chain pharmacies. Pharmacies can provide a personal service not offered by the large chains, while maintaining control and integrity of Rx deliveries.

The DeliveryRx™system is designed to track prescription deliveries to a specific address or multiple alternate addresses and locations. The system will verify the Rx being delivered, which includes patient verification, driver assigned to the delivery, amounts due at delivery, and provide proof-of-delivery signatures. The system will accommodate for physician or pharmacist patient notes upon delivery and electronic confirmation back to the pharmacy central system.

Using an iPhone or iPad’s

The manifest is downloaded into the device. This is then taken with the driver and used to “check off” each item when the order is delivered to the nursing home or patient. The device also allows you to check off items delivered and log an electronic signature from the receiving personnel.

How it works

The deliveries are digitally tracked utilizing an iPhone or iPad (Mobile Device). The process of tracking a delivery begins when the pharmacy system, uploads the delivery data onto the Mobile Device. This create a digital list of the manifest (packing list) on the Mobile Device. Each list is linked to a destination ID that represents a wing/section of a nursing home or a home address. One Mobile Device will contain lists for all destinations on a delivery route (and can handle multiple routes) and will accompany the product upon delivery.

When the delivery person arrives at the destination they will scan a unique barcode that has been posted at the location. This will put the device at the destination, the driver is already logged in as the employee handling the delivery. You now have where you are and who is handling the delivery. The next stage in the process is to scan all the unique Rx barcodes on the prescription labels. The Rx number plus the refill number act as the unique tracking identifier for the items being delivered. (think UPS tracking #) As each Rx label is scanned it will be checked off the list of prescriptions for this destination and a date/time stamped record will be created for each prescription. When all prescriptions are scanned the program will be ready for the next stage in the collection and check in process. This is collecting the amount owed (Cash, Check or Credit Card) capturing the signature of the recipient (Prof Of Delivery). The nurse or recipient will first give their printed name so if they sign an “X” on the Mobile Device the records will still show a first and last name of the person accepting the delivery. Then the recipient will be allowed to sign on a digital signature pad similar to a credit card touchpad. If an amount is due, it will be displayed for collection.

The system has now created digital records of all important elements of the delivery process. The delivery information can be sent instantly to the Pharmacy (via the internet) or the record can remain on the Mobile Device until the time it returns to the pharmacy and synchronizes with the computer system at the pharmacy.

Following are a few of the main features:

  • R Streamlined tracking and delivery system.
  • R Integration of scanners and credit card processing.
  • R Ability to print manifests.
  • R Numerous “check stations” offer redundancy style tracking, thus greatly reducing the possibility of lost or mis-delivered scripts.
  • R Exception report offers at-a-glance view of discrepancies in the tracking process.
  • R Ability to obtain and download electronic signatures.
  • Can easily add additional delivery drivers into the system.

Do you find that juggling the administrative requirements needed to capture, store and retrieve patients’ signatures, combined with keeping up with your daily responsibilities, leaves you less time for your patients?

Because 340B drugs are purchased via a manage program at a discounted cost, a separate Inventory and accounting must be kept. By having separate inventory locations, prescriptions can be grouped “separated” to produce accountability reports and automatically transmitted with the required parameters. Our Pharmacy Software will manage multiple inventories, screen drugs, prescribers, patients and users automatically.

Automatic Prescription Refill

The system allows you to automatically refill the patients prescriptions when they become due. You can control which patient, prescription or drug can be automatically refilled. This tool is an expansion to our Auto Refill system, that provides high volume, Mail Order and Institutional Pharmacies with a more robust professional product, we call “Cycle Fill” and provides the ability to send multiple claims for multiple patients to multiple carriers for routine medications. These functions save you time and money by allowing you to refill like the real world. You can refill in batch or by Facility. You have the flexibility of not only refilling routine medications, but allowing you the flexibility to select non-routine medications, to discontinue medications, request for refills automatically or fill new medications from the MAR Sheet, once you are satisfied with all the changes, the system will automatically refill, transmit, print the prescriptions, MAR Sheet and Delivery Sheet for all selected medications.

Reconcile third party payments fast, electronically or manually. Claims reconciliation allows you to easily post claims processor remittance data to the system. Claims billed both online and offline are posted to the tracking system. The tracking system provides you with a highly functional maintenance interface. Using the interface, you are able to filter the billed claims by specific date ranges for both individual plans and all plans. Sort the claims by billed or fill date. Search for individual records by prescription number. In addition to these filtering capabilities, the tracking system interface also provides on-screen editing of claim entries, reporting, and reject re-billing.

There is an assumption made by pharmacists that when a third-party company electronically accepts a prescription for reimbursement at a specific dollar amount, the pharmacist will receive a check for that same amount. This seems to be a reasonable assumption, but is it true?

Studies have concluded that approximately 1% to 5% (depending on the PBM) of the claims are paid a different amount than billed.

In addition, consider how much time your staff spends on manually tracking prescription payments from third parties. We can electronically reconcile 835 remittances and we have formed relationships with partner companies to help your staff spend more time working with patients, not paper remittances.

The Reconciliation module offers independent pharmacy “transaction level” reconciliation and provides reimbursement audits similar to those the chain pharmacies have employed since 1996. It compares data received from the pharmacy’s switched data (paid claims response) to electronic remittance advice submitted by third-party payers. We support reconciliation with all third-party payers that offer electronic claims remittance.

You work hard to earn the money that is owed to you. Call us to find out how we can help you collect money for the services you provide to your patients.

Payer Compliance Resubmission Service provides retail pharmacy with an automated solution to improve overall third party claim reimbursement through enhanced payment based upon switch vendors exclusive AWP variation intelligence engine.

Reconciliation suite of services allows retail pharmacy to easily monitor and track payments of third party sales.

Edit is an advanced real-time pre/post editing (PPE) solution which comprehensively improves pharmacy’s third party reimbursements and in-store productivity. As more and more prescription business involves third parties, it has become absolutely critical to ensure claims are submitted accurately and fairly to ensure maximum payment. As a solution, switch vendors offer Edit, a superior pre/post edit service for retail pharmacy.

This on-demand web-based solution provides our customers with a powerful and easy-to-use interface to manage the Resubmission Service.

Payer Compliance maximizes third-party reimbursement through the combination of sophisticated behind-the-scenes AWP variation analysis and a real-time reversal and resubmission user interface.

As the AWP variation intelligence engine identifies potential opportunities, users may login at any time to the web service and easily review and process resubmissions.

Inclusion and exclusion parameters are customizable on relevant NCPDP 5.1 fields to ensure each customer controls their own Resubmission Service opportunity identification process.

The system comes works with various databases of statistical data analysis of cash and third party pricing for pharmacies across the country. You will never have to blindly price your cash prescriptions again.

Medication Therapy Management, or MTM, is growing in pharmacies around the country. But what is it? It’s one-on-one care MTM is a tool that pharmacists use to work with a patient on his or her health to ensure the best possible outcomes. The pharmacist checks in regularly with the patient; ensures he or she is taking medications as prescribed; verifies the patient is following health and wellness guidelines; and checks into any related problems such as adverse reactions to medications.

Disease State Management is a continuous, coordinated, evolutionary process that seeks to manage and improve the health status of a carefully defined patient population over the entire course of a disease. A successful DSM program achieves this goal by identifying and delivering the most effective and efficient combination of available resources. This encompasses the entire spectrum of healthcare and includes prevention efforts as well as patient management after the disease has developed.

Extensive clinical information and DUR scanning, allows you to scan for interactions without filling a prescription even against an existing patient profile.

With the Abacus integrated MTM, you can track and monitor a patient’s medication condition such as diabetes, high blood pressure, asthma or high cholesterol.

The system is capable of managing multiple pharmacies. Share patient information and prescription history with security and privacy restrictions while keeping separate inventory.

Small and medium sized chains need a robust multi-site pharmacy management system that provides home office centralized control and multi-site management capabilities, while maintaining the ease-of-use that is so critical at the store level. We provide a cost-effective core system that can be expanded as needed as the chain grows and business needs evolve.
