Institutional Management
The Facility Module or Nursing Home Module provides the forms, reports, and functionality necessary for any institutional pharmacy whether long-term care, mental health, assisted living, board-and-care or corrections.
It helps institutional pharmacies increase productivity, efficiency, and profitability while supporting the unique needs of long-term care environments. The module includes support for various forms such as MAR, Physician Orders, treatment sheets and psychotropic monitoring sheets.
The Nursing Home module is totally integrated with your patients’ prescriptions. Its features include printing MARs and Physician Orders, performing drug utilization reviews, end-of-month unit dose billing, and automatically batch filling routine meds and cycle fill for nursing homes. Our Nursing Home module also features thermal printing, which produces crisp, easy to read labels with “easy peel” tabs and barcodes for fast, accurate refill ordering.
Facility Modules Features
The unit dose billing program allows you to bill unit dose prescriptions at the end of the month. Routine meds automatically default to the month’s supply and eliminate entry unless there is a change.
First-time prescriptions can be placed “on-hold,” giving you the ability to enter unit dose prescriptions that will not be billed until the end of the month and to document prescriptions filled from other pharmacies for homes you are serving.
Each nursing home can be assigned default standing routine orders, med pass times, attending and alternate physicians, skill levels, and activities that can be applied to each patient as needed.
Med sheets can be printed by account number, name or bed location. This helps organize the sheets in the same order that the nursing home will use them.
Treatment orders can be given scheduled charting times and can be printed either with the med sheets or on separate treatment sheets.
Prescriptions can be given pass times which print on the med sheet for charting. Different default pass times can be assigned to each home as required.
You can define the order in which the prescriptions are printed on the med sheets according to the dispensing frequencies such as QID, TID, BID, PRN, etc.
You may record wing, room and bed, weight, height, attending and alternate physicians, skill level, admission date, special diet instructions, diagnosis, allergies, permitted activities, and physician orders. Each order can be assigned an appropriate start and stop date.
You can produce drug utilization review reports that help you provide consultation. Included are drug-disease contraindications, drug-drug interactions, drug-allergy screening, federal indicator guideline reviews, and medication side effects.
Medical records can be generated for a specific patient, a nursing station, wing or an entire facility.
Some of the forms that can be printed include Medical Administration Records, Physician Orders, Treatment Records, Antipsychotic Flow Records, ADL Sheets and many others.
Our Cycle Fill and Mass Fill functions automatic refill and provides the ability to send multiple claims for multiple patients to multiple carriers for routine medications. These functions save you time and money by allowing you to refill like the real world. You can refill in batch or by MAR. MAR gives you the flexibility of not only refilling routine medications like other less capable systems but allowing you the flexibility to select a routine medications, to discontinue medications or fill new medications from the MAR Sheet, once you are satisfied with all the changes, the system will automatically refill, transmit, print the prescriptions, MAR Sheet and Delivery Sheet for all selected medications.
The automatic prescription refill system gives you the ability to instantly fill and bill refills. This system is mainly used by Institutional Pharmacies to assist them with the high volume of refills from facilities. But can also be used by Retail Pharmacies to refill and bill or rebill any claims missed or not billed during the day.
Pharmacy Management
Transition to a paperless environment. Scan, store, and retrieve any type of document (including: Prescriptions, CMN, Insurance card, Physician documentation, Worker Comp forms, etc ..) to eliminate the need for manual filing. The prescription, insurance card and signature is scanned and attached to the patient record. When patient information is retrieved, the images will automatically appear as verification of the patient’s prescription. In addition to helping to prevent dispensing errors, the module can help dramatically reduce the time and expense of an audit.
PDMP provides the ability to improve the patient standard of care and reduce controlled prescription drug abuse and diversion. Our pharmacy software automatically tracks controlled prescriptions and provides the states with the reporting requirements.
A lot of States now require some sort of prescription drug monitoring program (PDMP). The program is established to collect data on all Schedule II, III, and IV controlled substances dispensed in the State or dispensed to an individual in the State.
Each time a controlled substance is dispensed to an individual, the controlled substance shall be reported to the PDMP program using a format approved by the Department of Health (DOH), as soon thereafter as possible, but not more than seven (7) days (in some States 14 days) after the date the controlled substance was dispensed .
The Abacus PDMP extract included in our Pharmacy Software allows the ability to easily meet the reporting requirements.
The Drug Supply Chain Security Act (DSCSA) enacted by Congress on November 27, 2013, outlines steps to build an electronic, interoperable system to identify and trace certain prescription drugs as they are distributed in the United States. The system will enhance FDA’s ability to help protect consumers from exposure to drugs that may be counterfeit, stolen, contaminated, or otherwise harmful and will also improve detection and removal of potentially dangerous drugs from the drug supply chain to protect U.S. consumers.

Bin management and Quality Control
A quality control feature can be enabled for after each prescription is filled, that will require to scan the stock bottle NDC and the prescription label barcode, you can verify that the prescription has been filled with the correct drug. You can also perform a complete DUR for the patient and review any potential drug interactions or drug allergies in the same screen.
During quality assurance (if configured) pill imaging feature will display a color picture of the tablet or capsule with its imprints so you can verify that the correct drug was dispensed before a prescription is scanned out and given to the patient.
Reports can be generated to identify prescriptions still remaining in the Will-Call bin so you can call your patients or reverse the prescriptions and return the drugs to stock.

The software will verify and retrieve all the patient’s commercial insurance and Medicare part D insurance information and creates all the insurance records for you.
Enter the patient’s name, date of birth and the last four digits of their SSN and you can get all your patient’s coverage information (Plan, Group number, Card number, person code and relationship for Medicare part D or Commercial Insurance).
Here is a scenario of how it can work for you:
A customer arrives at your counter with her sick child and a prescription, but no insurance card. You use the information on her family’s file to submit her claim, but it won’t go through. She remembers that her husband’s company recently changed insurance plans, and cards from their new provider haven’t arrived in the mail.

This software module creates and maintains an on-line database for a variety of I.V. solutions for home infusion centers, clinics, and physicians’ offices. Orders may be categorized as piggy-back, syringe, LVP, TPN, epidural, chemotherapy and chemo syringe. Admixed and non-admixed solutions are supported.
- For non-TPN Orders, up to 8 additives may be entered. If less than 8 are needed, the extra fields may be used for additional information, instructions, etc.
- A separate TPN Order input screen lets you specify values for common additives and standard solutions (dextrose, amino acids and lipids). Four 30-character “free text” lines allow additional additives, solutions or instructions to be included.
- A starter list of frequent standard orders and comments, with mnemonics, is included to reduce keystrokes. You can enter new standards or modify existing ones as needed.

Entire prescription cost or third party co-pay may be automatically charged during prescription filling.
You can establish default credit limits for all your patients or for select individuals only. Also, a patient may be made sales tax and/or finance charge exempt.
You can set finance charge percentages, minimum finance charges, minimum past due amounts, and minimum past due days before applying the finance charges. Also, accounts that are 30, 60 or 90 days past due may be “frozen” so that no new charges may be posted.

Statement Printing Features:
Statements can be printed anytime. Statements can be sorted by name, account number, or by zip code. This allows you to be as flexible as possible and maximizes your postage savings.
You can print statements on blank stock paper or pre-printed forms.
The statement will print the name of the patient and his/her transactions when different from that of the responsible party.
You have the option of displaying the name of the drug, doctor, and/or quantity dispensed on the statement.
Statements may be selectively printed for zero balance, credit balance accounts, or accounts that are 30, 60 or 90 days past due.
Also, special attention may be given to those accounts that are 30, 60, or 90 days past due by printing a message on the statement alerting the account holder of his/her responsibility.
Customized greetings messages announcing new products, holiday sales, or thanking customers for their patronage may be printed on your monthly statements.
PSE Monitor provides pharmacies and law enforcement with a tool to track the sale of products containing pseudoephedrine (PSE) so that state and federal restrictions can be effectively enforced.
Our integrated POS system allows pharmacists to track the daily and monthly sale of OTC medications containing pseudoephedrine and record both the product and the purchaser’s information. The system compares the purchaser’s consumption record to the legal limit standards of your State. If the sale is within the limit a transaction may be finalized with the consumer’s electronic signature. However, if the system detects that the legal limit standards will be exceeded by the purchase the transaction will be denied.
The system helps you to ensure customers leave the store with all the families prescriptions and can work with most hardware will call system providers.
The Order Entry feature will allow the user to quickly scan the hard copy prescriptions image, with or without additional information, to the “New Rx Orders” queue for later processing. The Order Entry feature is very useful for high volume environments or to provide another verification layer by having junior Pharmacy Technicians scan and enter Rx orders, while Pharmacist or senior technician just select, fill and verify orders.

The Center for Medicare and Medicaid Services (CMS) aims to provide better care, healthier people and communities, and lower cost care. In alignment with this goal, CMS developed a one to five-star rating system used to evaluate the performance of Medicare Advantage plans. A plan’s star rating is significant because it directly affects their compensation and marketing advantages.
Medicare Advantage plans are rated on performance areas, including outcome measures (improvement in health), intermediate outcome measures, patient experience, access measures (barriers to care), and process measures (how care is provided).
Part D plans are rated on performance measures for four domains: Drug Plan Customer Service, Member Complaints, Problems Getting Services, and Choosing to Leave the Plan, Member Experience with Drug Plan, and Drug Pricing and Patient Safety. The Drug Pricing and Patient Safety domain include Pharmacy Quality Alliance (PQA)-supported medication adherence measures.
CMS also uses Display Measures to further evaluate Part D plans. Although not included in the plans’ star ratings, these evaluations are reported to CMS and are displayed on the “Patient Safety” website. PQA-supported measures of medication safety, including drug-drug interactions, excessive doses of oral diabetes medications, and the completion rate of Comprehensive Medication Reviews, are measured and reported. This is where pharmacies come in!

HIPAA and the HITECH act
The law regulates the use and dissemination of PHI in four general areas:
The Health Insurance Portability and Accountability Act (HIPAA) is a US healthcare law that establishes requirements for the use, disclosure, and safeguarding of individually identifiable health information. It applies to covered entities—pharmacies, doctors’ offices, hospitals, health insurers, and other healthcare companies—with access to patients’ protected health information (PHI), as well as to business associates, such as software service and IT providers, that may access PHI on their behalf.
1. Privacy, which covers patient confidentiality.
2. Security, which deals with the protection of information, including physical, technological, and administrative safeguards.
3. Identifiers, which are the types of information that cannot be released if collected for research purposes.
4. Codes for electronic transmission of data in healthcare-related transactions, including eligibility and insurance claims and payments.
The scope of HIPAA was extended with the enactment of the Health Information Technology for Economic and Clinical Health (HITECH) Act. Together, HIPAA and HITECH Act rules include:
- The HIPAA Privacy Rule, which focuses on the right of individuals to control the use of their personal information, and covers the confidentiality of PHI, limiting its use and disclosure.
- The HIPAA Security Rule, which sets the standards for administrative, technical, and physical safeguards to protect electronic PHI from unauthorized access, use, and disclosure. It also includes such organizational requirements as Business Associate Agreements (BAAs).
- The HITECH Breach Notification Final Rule, which requires giving notice to individuals and the government when a breach of unsecured PHI occurs.
HIPAA regulations require that covered entities and their business associates—in this case, Abacus when it provides services to covered entities—enter into contracts to ensure that those business associates will adequately protect PHI. These contracts, or BAAs, clarify and limit how the business associate can handle PHI, and set forth each party’s adherence to the security and privacy provisions set forth in HIPAA and the HITECH Act. Once a BAA is in place, Abacus customers—covered entities—can use its services. Currently there is no official certification for HIPAA or HITECH Act compliance. However, those Abacus services covered under the BAA are undergoing audits conducted by accredited independent auditors.
HIPAA history
The Standards for Privacy of Individually Identifiable Health Information (“Privacy Rule”) establishes, for the first time, a set of national standards for the protection of certain health information. The U.S. Department of Health and Human Services (HHS) issued the Privacy Rule to implement the requirement of the Health Insurance Portability and Accountability Act of 1996 (HIPAA). The Privacy Rule standards address the use and disclosure of individuals’ health information—called “protected health information” by organizations subject to the Privacy Rule — called “covered entities,” as well as standards for individuals’ privacy rights to understand and control how their health information is used. Within HHS, the Office for Civil Rights (OCR) has responsibility for implementing and enforcing the Privacy Rule with respect to voluntary compliance activities and civil money penalties.

The certification audit is a requirement before prescribers or pharmacies can begin to exchange e-prescriptions with controlled substances and to be activated by SureScripts to send or receive EPCS through its prescription exchange network. Furthermore, it will allow Abacus to provide pharmacies’ solutions that will meet mandate for paperless EPCS e-prescriptions as required in some States.
The software is also certified or meets regulatory standards set by the National Council for Prescription Drug Programs (NCPDP), United States Pharmacopeia (USP), the U.S. Department of Health and Human Services (HHS), HITECH’s Meaningful Use (MU) specifications, the Health Insurance Portability and Accountability Act (HIPAA), American Society for Automation in Pharmacy (ASAP) and the Food and Drug Administration’s (FDA) Title 21 CFR Part 11 rules.

The DeliveryRx™ system provides two ways to track deliveries:
1. In manual mode, delivery tickets containing Patient, address and Rx are scanned and assigned to a delivery person indicating the prescriptions are on route, when the driver returns the delivery ticket is again scan with a status indicating received, refused or other status. The system can also provide a delivery list with directions and the delivery ticket can be scanned to electronically capture the patient signature.
2. In computerized mode, The DeliveryRx™ Computerized Delivery Tracking Module is the perfect solution for pharmacies that collect signatures in drive-thru windows, deliver medication to their patients, out patient services or that provide Rx delivery service to nursing homes, long term care facilities and other institutional facilities. In today’s competitive environment, a computerized delivery tracking system offers independent pharmacies an edge over the corporate chain pharmacies. Pharmacies can provide a personal service not offered by the large chains, while maintaining control and integrity of Rx deliveries.
The DeliveryRx™system is designed to track prescription deliveries to a specific address or multiple alternate addresses and locations. The system will verify the Rx being delivered, which includes patient verification, driver assigned to the delivery, amounts due at delivery, and provide proof-of-delivery signatures. The system will accommodate for physician or pharmacist patient notes upon delivery and electronic confirmation back to the pharmacy central system.
Using an iPhone or iPad’s
The manifest is downloaded into the device. This is then taken with the driver and used to “check off” each item when the order is delivered to the nursing home or patient. The device also allows you to check off items delivered and log an electronic signature from the receiving personnel.
How it works
The deliveries are digitally tracked utilizing an iPhone or iPad (Mobile Device). The process of tracking a delivery begins when the pharmacy system, uploads the delivery data onto the Mobile Device. This create a digital list of the manifest (packing list) on the Mobile Device. Each list is linked to a destination ID that represents a wing/section of a nursing home or a home address. One Mobile Device will contain lists for all destinations on a delivery route (and can handle multiple routes) and will accompany the product upon delivery.
When the delivery person arrives at the destination they will scan a unique barcode that has been posted at the location. This will put the device at the destination, the driver is already logged in as the employee handling the delivery. You now have where you are and who is handling the delivery. The next stage in the process is to scan all the unique Rx barcodes on the prescription labels. The Rx number plus the refill number act as the unique tracking identifier for the items being delivered. (think UPS tracking #) As each Rx label is scanned it will be checked off the list of prescriptions for this destination and a date/time stamped record will be created for each prescription. When all prescriptions are scanned the program will be ready for the next stage in the collection and check in process. This is collecting the amount owed (Cash, Check or Credit Card) capturing the signature of the recipient (Prof Of Delivery). The nurse or recipient will first give their printed name so if they sign an “X” on the Mobile Device the records will still show a first and last name of the person accepting the delivery. Then the recipient will be allowed to sign on a digital signature pad similar to a credit card touchpad. If an amount is due, it will be displayed for collection.
The system has now created digital records of all important elements of the delivery process. The delivery information can be sent instantly to the Pharmacy (via the internet) or the record can remain on the Mobile Device until the time it returns to the pharmacy and synchronizes with the computer system at the pharmacy.

Because 340B drugs are purchased via a manage program at a discounted cost, a separate Inventory and accounting must be kept.
